Trip Guidelines for the Navicore Partners 2025 HBCU College Tour

The Navicore Partners HBCU College Tour is a unique and exciting opportunity for students to explore Historically Black Colleges and Universities (HBCUs) while learning about higher education and building lasting friendships. To ensure a safe, respectful, and enriching experience for everyone, all participants are expected to adhere to the following guidelines.

  1. Application Form/ Permission Slip

    Participation in this college tour requires a signed application form with a permission slip from a parent or legal guardian. The form must be submitted by the stated deadline. Students without a completed and signed form will not be allowed to participate in the trip.
     

  2. Behavior Expectations

    All students are expected to:

    • Conduct themselves respectfully and maturely at all times.

    • Represent themselves, their families, their schools, and Navicore Partners with pride and integrity.

    • Follow directions from chaperones, tour leaders, and other adult supervisors without argument or delay.
       

  3. Safety
     

    • Students must remain with the group at all times unless given explicit permission to separate under supervision.

    • All safety protocols provided by the tour leaders must be followed.

    • Any incident or injury must be reported immediately to a chaperone.
       

  4. Communication & Language
     

    •  Students must stay in touch with their chaperones and follow their instructions throughout the day.  

    • Students must maintain clean and respectful language at all times, avoiding profanity, gossip, bullying, and negative speech.  
       

  5. Electronic Devices
     

    • Phones and other electronic devices should be used responsibly and must not interfere with scheduled activities or disrupt the group.

    • Earbuds/headphones are allowed during travel but must be removed when chaperones are addressing the group or during tours.

    • Navicore Partners is not responsible for lost, damaged, or stolen devices.
       

  6. Student Attendance/Punctuality 
     

    • Students must attend all scheduled activities, meetings, and sessions punctually.  

    • Students who are missing during group activities or are continually tardy may result in loss of privileges or be subject to discipline.
       

  7. Dress Code
     

    • Clothing must be appropriate, modest, and suitable for college visits.

    • No clothing with offensive language or images.

    • Comfortable walking shoes are strongly encouraged.

    • Dress appropriately for the weather and any special events on the itinerary.

    • Male participants are expected to wear a tie with a white collared shirt during some parts of the tour.  Navicore Partners apparel will be provided for wear during some special events.  
       

  8. Room Requirements
     

    • Students will be assigned roommates and are not permitted to switch rooms without staff approval.

    • No student is allowed in a room assigned to the opposite gender.

    • Curfews must be observed, and students must remain in their rooms after designated hours.
       

  9. Public Display of Affection / Sexual Behavior
     

    • Public displays of affection (kissing, hugging, hand-holding, etc.) are not permitted during the tour.

    • Any form of sexual behavior is strictly prohibited and will result in immediate disciplinary action, including possible removal from the tour.
       

  10. Exploration Beyond Assigned Areas
     

    • Students must stay within the designated areas during visits and events.

    • Leaving the group or venturing into restricted areas without permission is not allowed and will result in disciplinary consequences.
       

  11. Illegal Drugs, Alcohol, and Tobacco
     

    • The possession, use, or distribution of illegal drugs, alcohol, or tobacco products is strictly prohibited.

    • Any violation will result in immediate removal from the tour and notification of parents/guardians, school officials, and legal authorities.
       

  12. Respect for Property
     

    • Students are expected to respect all property, including buses, hotels, schools, and the 

    • personal belongings of others.

    • Any damage caused intentionally or through reckless behavior will be the responsibility of the student and may result in financial and disciplinary consequences.
       

  13. Conflict Resolution
     

    • Students are encouraged to handle conflicts calmly and respectfully.

    • Any disagreements or issues should be brought to the attention of a chaperone or staff member.

    • Physical altercations, bullying, fighting, or verbal harassment will not be tolerated.  Failure to comply with this directive will result in immediate disciplinary action, including possible removal from the tour.

       

  14. Consequences for Negative Behaviors
    Navicore Partners is committed to maintaining a safe, respectful, and positive environment throughout the HBCU College Tour. Any student who violates the trip guidelines may face one or more of the following consequences based on the severity and frequency of the behavior:
     

    1. Tier 1 – Minor Offenses
      Examples: Tardiness, inappropriate language, use of electronics during restricted times, dress code violations.
      ​

      1. Verbal warning

      2. Conference with a chaperone

      3. Loss of privileges (e.g., free time, seating choice)
         

    2. Tier 2 – Moderate Offenses
      Examples: Disrespect toward staff or peers, leaving assigned areas without permission, repeated minor offenses.
      ​

      1. Written behavior notice

      2. Parent/guardian contacted

      3. Restricted participation in certain activities

      4. Probation for the remainder of the trip
         

    3. Tier 3 – Major Offenses
      Examples: Possession or use of drugs, alcohol, or tobacco; sexual behavior; theft or property damage; physical aggression; repeated defiance.
       

      1. Immediate removal from the tour

      2. Return home at the parent/guardian’s expense

      3. Referral to school administration or other appropriate authorities

      4. Possible ban from future Navicore Partners events and tours.


​Important Notes:
 

  1. All incidents will be documented and reported to the student’s parent/guardian.

  2. Navicore Partners reserves the right to make decisions in the best interest of the group’s safety and integrity.

  3. Students removed from the tour for disciplinary reasons will not receive a refund.
     

Acknowledgment and Agreement
 

All students and their parents/guardians must sign an acknowledgment form confirming that they have read and agree to follow these guidelines. Failure to comply with the rules may result in disciplinary actions, including removal from the tour at the parent/guardian’s expense.
